The rental fee charged for each exhibition reflects administrative and development costs, publicity kits, educational materials and transportation. Participation fees generally cover a six or eight-week exhibition period, including adequate additional time for installation and dismantling; additional one-week booking periods are available at a prorated fee. A deposit of the total fee is due upon signing the contract; a second payment is due 90 days prior to the booking period, and the balance is due on the first day of the booking period.
Rush Contract Surcharge: Bookings made within 30 days of an exhibition's opening date may be assessed a surcharge of up to 20% of the total rental fee. The rate of surcharge will be dependent on size and complexity of the exhibit.
Backyards and Beyond is responsible for transporting the exhibition to and returning it from the sponsoring institution. A one-week period is allowed on each side of the scheduled exhibition dates for shipping/pickup and return. Unless noted otherwise in Exhibition Details, Backyards and Beyond staff members do not travel with the exhibition. Sponsoring institutions must provide qualified persons to unpack, install, and repack the exhibition.
Exhibitors in Alaska, Hawaii, and foreign countries are responsible for incoming shipping costs plus outgoing costs to a mutually agreed upon point in the continental United States.
Exhibitions are insured during transit to and from each venue under our fine arts policy. Wall-to-wall insurance covering the exhibition during the exhibition period is required for all traveling exhibitions. Sponsors are requested to forward a certificate of insurance to Backyards and Beyond at least three weeks before the exhibition opens.
Backyards and Beyond will provide exhibiting institutions with educational packets, when available, that may include representative slides, bibliography, filmography, and programming suggestions for the exhibition. Catalogs and other resale memorabilia, films, and lectures are available for some traveling exhibitions. Resale memorabilia is available at 25% wholesale discount on consignment. We will also serve as a point of contact between exhibitors and artists or curators who may be available for lectures.
The estimates given for linear feet are twice the total horizontal measurement of all works, frame to frame, and represent the average wall space required to hang the exhibition. Since exhibition information is often printed in advance, actual space requirements may vary slightly by the time the exhibition travels.
Backyards and Beyond provides designed and typeset finished text panels and item labels suitable for use with each exhibition. For most exhibitions these items may also be provided on computer disk for fabrication by the individual museums if requested.
Four months prior to the opening date of your exhibition, Backyards and Beyond will provide you with a press package on the exhibition, including a sample press release, publicity photographs, and, when available, clips of other press materials generated by the exhibition.
Exhibiting institutions are required to credit Backyards and Beyond and participating curators, lending institutions or sponsors at the entrance to the exhibition and on all public announcements, press releases, invitations, posters, signs, and other promotional materials in the manner specified in the exhibition loan agreement.
All artworks must be hung in a stable environment away from direct sunlight, the convection flow of any heating device, contact with excessive moisture, or any other potentially damaging condition. A fire alarm system is required in all exhibition spaces. Security requirements are a single-use locked space with guard or attendant on duty during the hours the exhibition is open to the public. The exhibition space must be locked and secured during closed hours. An electronic alarm system or security guard is required when the exhibition is closed to the public.
